LVC Event Promotion Policy

Lebanon Valley College’s Division of Marketing & Communications can assist academic and administrative departments and programs and official student-run organizations with promoting events. All events should be planned and held following College policies. If the College agrees to promote the event, the division will determine the timeline and frequency of communications and identify which office College communication channels are appropriate for the situation. Requests must be made at least two business days before the event.

Student-run Events

Events sponsored solely by officially recognized student-run organizations must follow LVC Student Handbook guidelines and the College’s Freedom of Expression policy.

The student organization’s leadership must provide to Marketing & Communications (marcomm@lvc.edu) written approval of organizing the event from the group’s advisor and the Center for Student Engagement or athletic communications. Student groups that sponsor, co-sponsor, or organize an event must allow their group name to be publicized.

The group may then:

  • Submit events to the lvc.edu calendar.
  • Use #GoLVC on social media in conjunction with their event.
  • Request to promote the event via the weekly student and faculty/staff e-newsletters and digital signage on campus (contact marcomm@lvc.edu)
  • Request a t-shirt design from the division or have a design reviewed by the division (contact marcomm@lvc.edu). (Designs should align with the College’s brand platform. The Dutchman mascot may not be altered.)

Considerations

  • The College does not send mass emails to promote student-run events.
  • The College may decline requests to promote student-run events if the event conflicts with the College’s mission or values or does not fit with the division’s strategic marketing plan or brand strategy.
  • The College will not promote any event associated with an external group considered antithetical to the College’s mission or values.
  • Marketing & Communications may choose to highlight a student-run event via the College’s main communication channels if it aligns with the division’s strategic marketing plan.

Events Run by Administrative or Academic Units

Events organized by administrative or academic units (departments, divisions, officially recognized employee groups) must follow all College policies. Organizers may:

  • Submit events to the lvc.edu calendar.
  • Use #GoLVC on social media in conjunction with their event.
  • Request to promote the event via the weekly student and faculty/staff e-newsletters and digital signage on campus (contact marcomm@lvc.edu)
  • Request a t-shirt design or other promotional items from the division or have a design reviewed by the division (contact marcomm@lvc.edu). (Designs should align with the College’s brand platform. The Dutchman mascot may not be altered.)
  • Contact the division to discuss promoting the event beyond these means.
